Connect your Square account

Bring your Square items, prices and stock into Hapro, and choose which Square locations count.

Updated 24 Oct 2026

To connect Square, select Connect on the Square card in Settings → Integrations, then sign in to Square and approve the connection there. Hapro then uses the same items, prices and stock as your Square account, and there are no keys to copy.

This connection is in beta. We have tested it against simulated Square accounts, not yet against live ones. If anything comes across wrongly, contact us.

Before you start

  • In Hapro, an owner or administrator connects stores. Each connected store counts towards your plan's connected systems allowance.
  • Add your shops in Hapro first, so Square's stock has somewhere to go. See Manage your locations.
  • If the Square card in Settings → Integrations says Not available yet, Square has not been switched on for Hapro yet. Contact us.

Connect

  1. Open Settings → Integrations.
  2. On the Square card, select Connect.
  3. Square opens. Sign in, check the access Hapro asks for, and approve it.
  4. You come back to Integrations, and your items start coming across.

Hapro asks Square only for read access: to your items, your stock and your business profile. It cannot change anything in your Square account.

What comes across

  • Items and variations: each Square item becomes a product, and each of its variations a variant, with its SKU, barcode (UPC) and price.
  • Categories come from each item's reporting category, or its first category.
  • Stock is the count for each variation at each active Square location you have chosen.

A variation with variable pricing, where the price is set at the till, comes across without a price, so the assistant cannot sell it until it has one. Items you archive or delete in Square are archived in Hapro. Product images are not brought across.

Choose which Square locations count

When you connect, a Square location with the same name as one of your Hapro shops is matched to it. If none match, Square's first location is matched to your first shop. Any other Square location's stock is ignored until you choose a shop for it. To check or change this, see Choose which locations feed your stock.

Keeping it up to date

  • When items or stock change in Square, Square tells Hapro and the change is synced.
  • Hapro also checks Square every 15 minutes and runs a full sync every night.
  • To sync without waiting, select Sync now on the Square card in Settings → Integrations. Select Sync history on the same card to see each sync and what it did.

Products managed by Square

Products from Square show Managed by Square on the Products page. Their details, prices and stock come from Square, so change them there. A spreadsheet import cannot change them either.

Orders taken in Hapro are not sent to Square.

If the card says Needs attention

The card says what needs fixing, in words. If Square has stopped accepting Hapro's access, connect again from the Square card. If Square could not be reached, there is nothing to do: the next sync tries again.

Connecting a different Square account

Hapro keeps one Square account at a time. To switch, select Connect a different Square store on the card. You are asked to confirm, because the new account replaces the current one. Products from the old account stay in Hapro but stop updating from it.

Disconnecting

On the Square card, select Disconnect, then confirm. Hapro gives up its access at Square, stops syncing and deletes the access it held. Your products stay in Hapro, and their prices and stock become yours to edit by hand.
