Stock looks incorrect

Common reasons stock in Hapro differs from what is on the shelf, and how to correct it.

Updated 24 Oct 2026

Stock in Hapro can differ from your shelf because some of it is reserved, you are looking at a different location, a connected store has not synced yet, a spreadsheet set it only once, or a new shelf count has not been entered. Each cause is below, with how to correct it.

Some stock is reserved

The Inventory page shows On hand, Reserved and Sellable. Reserved stock is held for a short time for customers' baskets and for orders waiting to be paid, so the assistant offers the Sellable figure. This is expected, and reserved stock is released if the customer does not go ahead.

The stock is at a different location

Stock is kept per location. Check you are looking at the right location on the Inventory page, and that each phone line sells from the right shop in Settings → Phone & voice.

Your products come from a connected store

Hapro checks a connected store (Shopify, WooCommerce, Square or Lightspeed) for changes every 15 minutes. To bring stock across straight away, open Settings → Integrations and select Sync now on your store's card. A Stale badge on the Inventory page means stock from a connected store has not been updated for more than an hour. If the store's card says Needs attention, it says what to fix.

If stock from one of your store's locations never appears, that location may not be matched to one of your shops. For WooCommerce, Square and Lightspeed, see Choose which locations feed your stock. For a Shopify store with several locations, contact us to set this up.

WooCommerce only reports stock for products with Manage stock switched on. See Connect your WooCommerce shop.

Your products came from a spreadsheet

A spreadsheet import sets stock once. Upload an updated file to correct it, or change stock on the product's page. See Import products from a spreadsheet.

The shelf count is different

After a stock count, open the product and use Update stock with Counted the shelf (set the total). See Update your stock.
